Role Summary
We’re seeking a proactive, detail-oriented Executive Assistant to serve as the operational backbone of the business. The ideal candidate thrives on keeping people, projects, and processes highly organized, and takes pride in creating order out of complexity.
You will bring structure, maintain clarity across workflows, and continuously look for ways to make our operations more efficient, effective, and scalable. You’ll be joining at a pivotal moment — your work will directly help the company grow, expand its impact, and take on bigger opportunities. Over time, as the business scales, this role has a path to full-time with greater ownership across admin, operations, and human resources.
This is not a short-term position - we are looking for someone committed to growing with the company long-term, and expect the role to evolve in scope and impact over time.
Core Responsibilities
Over the first 6–12 months, you will take on a subset of the following based on your skills, our highest priorities, and available hours — starting small and expanding as you grow in the role.
Finance & Admin Support
Assist with payroll, invoices, and payments
Track recurring expenses and client payments
Help maintain business financial projections
Support light bookkeeping (e.g., transaction categorization, reconciliations)
Operations & Organization
Maintain organization of shared drives, Slack channels, and team accounts
Support onboarding for new hires/contractors
Keep capacity planning and CRM records accurate
Coordinate travel, meetings, and calendars in line with strategic goals
Occasional personal support tasks as needed
Communications & Coordination
Draft outreach emails and respond to communications as needed
Support CRM audience emails, social media copy, and minor website updates
Research events, speaking opportunities, and strategic leads
What We’re Looking For
Must-Have Qualities
2 - 5+ years in executive support, operations, administration, or related roles
Exceptional organizational skills and genuine enjoyment of creating and maintaining order
Strong systems thinking — ability to analyze processes, spot inefficiencies, and design improvements
Excellent written and verbal communication skills
Self-starter who can manage diverse tasks with minimal supervision
Comfortable in a dynamic, high-trust, small-team environment
Discreet and reliable with sensitive information; able to handle confidential client, financial, and personnel data with judgment and discretion
Passionate about the mission and eager to stay long-term
Nice-to-Have Skills
Familiarity with QuickBooks, HubSpot, Notion, or CRMs
Bookkeeping or basic financial reporting experience
Comfort with light marketing tasks (copywriting, social media, web updates)
Interest in climate, clean energy, or policy-driven work
Position Details
Job Type: Part-time contractor or flexible employee (10-20 hours/week)
Location: Fully remote; occasional travel or in-person work may be required
Compensation: $25 - $35 / hour, commensurate with experience
